Frequently asked questions

Last updated: 31 October 2026 · Ελληνικά

What our customers ask before they trust PnyxMind with a case: how their data is protected, who sees it, which models take part, who is responsible for the decision and how credits work. Every answer describes how the system works today.

Security and separation

Are my cases kept apart from other customers' cases?

Yes. Every case belongs to one organisation or to your personal space, and only its members and invited guests can see it. The separation does not rest on the application code alone: the database itself enforces row-level security rules. The application connects to the database with an account that cannot bypass those rules, so every query sees only the data of the organisation it runs for.

Is my data encrypted?

Yes. Every connection to PnyxMind is encrypted (HTTPS). The texts of every case (questions, positions, arguments, answers) are stored encrypted with a key that belongs to that case alone, and that key is kept encrypted by the Amazon Web Services key service (AWS KMS) in Frankfurt. The files you upload are kept in private storage and are never served through a public link. If you connect your own AI provider key, it is stored encrypted and the screen shows only its last four characters.

Where is my data stored?

In the European Union. The application and the database run on Hetzner servers in Germany, and case files are kept in Cloudflare R2 under EU jurisdiction. The AI model providers are also outside the EU; see the section "AI models".

How is my account protected?

There are no passwords to steal. You sign in with a one-time code sent to your email, with Google or with Apple. On your phone you can lock the app with Face ID or your fingerprint. Keep access to your email safe, because it is the key to your account.

Can anyone change a decision after it is sealed?

No, not even us. Every step of a case is written to a record that can only grow and never changes. Each entry is linked to the previous one by a digital fingerprint (hash), so any tampering shows at once. That is how a sealed decision can be verified later.

Who sees my data

Does anyone at the company read my cases?

No. Our staff have no screen that opens customer cases. Our internal dashboard shows only numbers: how many cases, how many tokens and how much money, never questions, texts or files. We do not explore, analyse or sell your content. To be honest with you: as with any cloud service, the few engineers who maintain the servers have technical access to the system. They use it only to fix faults or when the law requires it, and the case texts are encrypted.

Is my data used to train AI?

We do not train any model on your data. The texts of a case are sent to the model providers only so that they can answer, through their business services (APIs). The business terms of Anthropic, OpenAI and Google do not allow them to train models on this data. Kimi and DeepSeek do not give the same guarantee, which is why strict limits apply and you decide whether they take part.

Do you keep copies of what passes through to the models?

We keep exactly one copy: the encrypted record of your case, so that you can read it and verify it. Our gateway to the models keeps only counts and costs for each call, never the text. Questions and answers are not written to the gateway's database, its logs or anywhere else.

Is personal data hidden before it reaches the models?

Partly. Before a text goes to the models, the system automatically hides email addresses, phone numbers, Greek social security numbers (AMKA), tax numbers (AFM) and IBANs. It cannot catch everything: names, addresses and whatever is inside photos pass as they are. Do not put other people's personal or health data into a case without a reason.

Do you sell data or show ads?

No. We sell data to no one and there is no advertising. We use only the cookies needed for sign-in and security. Your data is seen only by the partners who help us run the service (hosting, email, payments, AI models), as listed in the Privacy Policy.

AI models

Which models take part, and where are they?

Claude (Anthropic, USA), ChatGPT (OpenAI, USA), Gemini (Google, USA), Kimi (Moonshot AI, Singapore) and DeepSeek (China). Before a case starts you see which company sits in each seat and you can change it. Every AI seat is always marked as AI. You can also add a seat that runs on your own provider key or on your own model (Ollama, LM Studio or any OpenAI-compatible server); for that seat the texts go to your own server.

What can Kimi and DeepSeek see?

Only the case they sit in, with personal data hidden as described above. Never other cases. On top of that they never sit on national security, defence or critical infrastructure topics, on topics of municipalities and public bodies, or in an organisation that has switched them off. This is not just a setting: the database itself refuses to seat them on such a case. In every other case they take part only if the organiser chooses them.

Does one model see what the others said?

It sees the positions under discussion without the name of any company or model, so it judges the argument rather than who made it. The limits a participant sets for their own seat never enter another seat's instructions.

Do the models make mistakes?

Yes. That is why models from different companies deliberate, with a chair who gives the floor and claims checked by another provider. This reduces mistakes; it does not remove them. Always check facts and figures before you rely on them.

Decisions and responsibility

Who is responsible for the decision and its consequences?

You or your organisation. PnyxMind runs the deliberation and records the outcome. Whether to act on what came out of it, and whatever follows, is your decision. The final decision that concerns you always belongs to a human, and the chair of the session never votes.

If a decision turns out to be wrong, is the company liable?

Not for the content of the decision or the consequences of acting on it. Towards professionals, our liability is limited to the amount you paid in the last 12 months. Our liability is not limited for fraud, gross negligence or anything else the law does not allow (article 332 of the Greek Civil Code), and consumers keep all their rights under Law 2251/1994. The details are in the Terms of Use.

Does PnyxMind give medical, legal or financial advice?

No. The models' answers help you think; they are not professional advice. The courtroom is an exercise only. In municipal councils and assemblies only people vote and the models only advise; the decision belongs to the competent body.

What does a sealed decision prove?

It proves what was said, who voted for what and when, and that nobody changed it afterwards. It does not prove that the decision is right.

Credits and payments

How am I charged?

There are no subscriptions. You buy credits in advance and pay only for what the models think (tokens). One credit is worth €0.01 before VAT. During a session you see live how many credits each participant spends, and you can set a limit for each case.

What happens if credits run out in the middle of a case?

The case pauses, is saved and waits for you. It is not rushed to a close and nothing is lost. As soon as you add credits or raise the limit, it continues from where it stopped.

Do credits expire? Are there free credits?

Credits do not expire. Every new organisation gets 500 free credits to try the service. Credits belong to the organisation, not to one person.

Can I get my money back?

If you are a consumer, you have 14 days from the purchase: if you ask at info@pnyxmind.com within that time, we refund the value of the credits you have not used. Free credits are not refunded as money. If you bought credits inside the iPhone or Android app, Apple or Google handle the refund under their own rules.

Is payment safe?

Yes. Payments on the website go through Stripe, and on your phone through Apple or Google. We never see or keep your card details. Receipts are issued through myDATA, the Greek tax authority's system.

Account, deletion and your rights

Can I get a copy of all my data?

Yes, whenever you want. In Settings, under "Privacy", you download one file with your account, your consents and every decision you are allowed to see.

How do I delete my account?

From Settings, on the website or in the app, with "Delete account". We erase your name, email and sign-in methods at once, and you leave every organisation. Sealed decisions stay with the organisations without your name, because their record must stay intact. Credits stay with the organisation. Deletion cannot be undone, so download your data first if you want it.

Can I erase a case completely?

Yes. Write to us at info@pnyxmind.com from your account's email. We delete the case's files and destroy its key. From that moment nobody can read its texts, not even us. The record keeps only encrypted data and fingerprints, so that the verification chain does not break. If the case belongs to an organisation, the request must come from the organisation.

How long do you keep my data?

Your account, for as long as it exists. Each case, for as long as its organiser chose when opening it: 30 days, 1, 5 or 10 years after the last activity. Then it is erased automatically, the same way as when you ask for erasure. You can also ask for erasure earlier. Receipts and payment records are kept 5 years, because tax law requires it.

What are my rights?

You have the right of access, rectification, erasure, restriction, portability, objection and withdrawal of consent. Write to info@pnyxmind.com and we answer within one month. You can also complain to the Hellenic Data Protection Authority (www.dpa.gr). The service is for people aged 15 and over.

Using the service

Do I have to be present for the whole session?

You choose before it starts: no participation, only answers to the chair's critical questions, or full participation. When your answer is needed, the council waits for you and notifies you. You can also connect your own chatbot to answer for you.

What is not allowed?

Illegal content, harassment, other people's personal or health data without a legal basis, attempts to trick the models, automated scraping, and practices banned by the EU AI Act, such as social scoring of individuals.

How do I contact you?

At info@pnyxmind.com. PnyxMind belongs to CONNECT PHONE - TELECOMMUNICATIONS S.A., 131 Praxitelous Street, 185 32 Piraeus, Greece.

Disclaimer

PnyxMind is a tool that helps you think and decide. It does not decide for you. The positions of the AI models and the sealed decision are not medical, legal, financial, investment or any other professional advice, and they do not guarantee a correct outcome. The choice to act on a decision, and its consequences, are yours or your organisation's. Check every decision and, where needed, ask a professional before you act on it. The law does not let us exclude our liability for fraud or gross negligence, and consumers keep all their rights under Greek consumer law (Law 2251/1994).
